Human Resources Technical Assistant

Reports to:                       Field Coordinator

Supervision of:                 N/A

Duty station:                    Isingiro

Contract period:              10 Months 

Generic responsibilities

  1. Adhere to NRC policies, tools, handbooks and guidelines
  2. Assist with the implementation of the support function portfolio according to plan of action
  3. Prepare and develop status reports as required by management
  4. Ensure proper filing of documents
  5. Promote and share ideas for improvement of the support function
  6. Perform other duties, as assigned by Line Manager

Specific responsibilities

  1. Supporting recruitment processes as directed
  2. Organize and ensure that newly recruited staff undergo orientation and debriefing program for staff ending their mission – 
  3. Centrally keep track of leave for all staff and advise line managers to properly plan leave for staff - 
  4. Support HR CO in maintaining an overview of staff’s contract end dates and contract extensions and ensure that notifications are given to the line managers well in advance
  5. On a monthly basis, follow up staff to ensure timesheets are signed and submitted in a timely manner.
  6. Perform proper filing of all personnel documents and other admin documents
  7. Supporting line managers in performance managements activities and filing performance management documents for staff
  8. Maintaining consolidated and updated trackers for staff leave, recruitments, onboarding, `trainings, and exits and other relevant HR records as may be determined by the HRCO.
  9. Support Continuously assess and report compliance on minimum staff care Duty of Care Standard
  10. Arranging staff monthly airtime in a timely manner.
  11. Support the HR CO to ensure that all staff have adequate seating arrangements
  12. Perform any other official duties as may be assigned by the supervisor.

Professional competencies 

Generic professional competencies: 

  • Bachelors in HR Management, Business Administration, Social Sciences, Organizational Psychology or any related field.
  • 2 years' experience working with a busy HR Department in a humanitarian organization.
  • Strong spoken, written, and expressive English,
  • Strong IT skills including ability to work with Ms. Office applications
  • Knowledge of relevant legislation, policies, and procedures and labor law
  • Ability to improvise and take initiative
  • Strong follow up skills
  • Strong communication and interviewing skills.
