The Front Office Manager will oversee the daily operations of the front office, ensuring exceptional customer service, efficient administrative processes, and smooth coordination between departments. This role is critical in maintaining a professional and welcoming environment for clients, partners, and visitors.

Key Duties and Responsibilities:

  • Ensure a professional and welcoming atmosphere for clients, vendors, and guests.
  • Manage incoming calls, emails, and inquiries, directing them to the appropriate departments.
  • Oversee office supplies, equipment, and facility maintenance.
  • Maintain an organized filing system for documents, invoices, and client records.
  • Serve as the first point of contact for high-profile clients, distributors, and partners.
  • Handle customer complaints or concerns with professionalism and escalate when necessary.
  • Coordinate client meetings, tastings, and events, ensuring seamless logistics.
  • Maintain strong relationships with key accounts and vendors.
  • Assist with order processing, invoicing, and inventory tracking in collaboration with the sales and logistics teams.
  • Manage appointment scheduling for sales representatives and executives.
  • Prepare reports on front office activities, customer feedback, and operational issues.
  • Train and mentor front office staff on company policies, customer service standards, and industry-specific knowledge.
  • Conduct performance evaluations and provide feedback to team members.

Qualifications, Skills and Experience:

  • Bachelor’s degree in Marketing, Business Administration, Leisure and Hospitality or a related field
  • Proven experience (3+ years) in sales and marketing, preferably within the beverage, food, or FMCG) industry.
  • Strong leadership and team management skills.
  • Ability to develop and maintain relationships with key stakeholders, including retailers, distributors, and other partners.
  • Excellent communication, negotiation, and presentation skills.
  • Proficiency in digital marketing, social media platforms, and CRM software.
  • Ability to travel as required for sales meetings, conferences, and events.
  • Capable of managing and mentoring a high-performing team.
  • Ability to analyze sales trends and marketing metrics to optimize performance.
  • Expertise in negotiating contracts and deals with clients and partners.
  • Ability to think outside the box in developing campaigns and promotional strategies.
